London2012 Production Tenders

2 tenders have been released for production services by the “The London Organising Committee of the Olympic Games and Paralympic Games Ltd”.  No doubt these tenders are for the likes of the larger production companies such as SKY, BBC etc but hopefully the winning production company will offer independent editors, production companies, directors, producers etc and music libraries (such as ourselves) work which will ensure all British creative companies benefit from the London2012 broadcasts.  We shall wait and see!  (tenders need to be in by the 3rd and 5th November 2010) More info on these tenders can be seen on the https://www.competefor.com website.  See more info on QWPM at the Quest Worldwide Production Music website at http://bit.ly/ayr32a

 

Entertainment Production Services

About the Opportunity:
LOCOG’s Sport Presentation team will elevate the sporting experience to a never before seen level in 2012. Sport Presentation aims to educate, inspire and entertain the live audience at each Olympic and Paralympic Venue whilst enhancing the competition for the athletes.

As a cohesive team, Sport Presentation is responsible for all video production, sport announcements and commentary, music, audio, lighting and entertainment and the staging of Flower and Victory ceremonies at every sporting session at each competition venue. This amounts to 900+ sessions and 771 medal ceremonies.

LOCOG is looking to appoint one or more production services companies to work as partners in the delivery of its Sports Presentation programme across the Olympic and Paralympic Games. These companies will undertake the commissioning of production elements including post production, performances, staging, etc.
LOCOG will lead the creative and editorial strategy and oversee outputs for all elements, however, we will look to these production services companies to manage the translation of this creative vision to technical delivery.
Production will start early 2011 and continue up to, and through Gamestime in July-Sept 2012.

We are looking for production services companies with experience in large scale multi-venue events and television production to support LOCOG in delivery of its breakthrough Sport Presentation programmes throughout the Games. Most specifically this will involve the procurement and subsequent financial and legal management of the following elements:
- Staging of entertainment acts, including set design and construction, lighting and audio design
- Negotiation and contracting of all performing talent
- Video production including shooting, post production and liaison with graphics production company
- Licensing of archive footage and music
- Hire, management and remuneration of freelance production staff, including editors, audio mixers, wardrobe, hair and make up, etc,.

The production companies should have in-depth knowledge of the industry as well as excellent contacts. A dedicated production manager should be assigned in order to streamline the operation and ensure all deadlines are met.

We will look to purchase and contract all facilities and services through these production companies, utilising their existing first rate finance and legal teams.

LOCOG will retain overall ownership, authority and executive leadership over London 2012’s Sport Presentation elements and creative strategy. All creative and editorial control will remain within LOCOG, as well as final supplier selection decisions.

Further facilities required include:

- Extensive knowledge and understanding of the events and television industry and existing relationships with key suppliers and individuals.
- Substantial finance and legal teams with capacity to process significant quantities of invoices and services agreements within a fast turnaround.
- Offices in a Central London location with adequate meeting / screening facilities.
- Proven experience in managing sub-contractors

Sports Presentation Production Company

About the Opportunity:

Substantial work has been undertaken to gauge the workforce levels required to provide sport presentation at every session of each sport at each venue. It is estimated that in excess of 750 people will be required and that the most cost effective and streamlined approach is to sub-contract this in parts to specialist sport production companies.

SERVICES REQUIRED

LOCOG are looking to appoint a small roster of sport presentation production companies with broad experience in large scale sporting events and a proven track record of Sport Presentation. These companies will have vast expertise in the staging of sport events and most specifically, sport presentation at world competition level. They will have extensive contacts and thorough technical understanding of the industry.

The role of these production companies at Gamestime will cover :

- The generation of running orders and schedules to manage all activity and rehearsals on the field of play during build up periods
- Management of daily running orders and schedules in to cover timings of all elements of production on field of play during sessions and outside of competition times.
- Management of all feeds to videoboard [using content provided by LOCOG SPP]
- Management of the PA system, including live in-venue commentary and music
- Floor management of mascot activity, entertainment acts and victory ceremonies
- Management of all music reporting, including submission of music cue sheets
- On site management of Sport Presentation’s workforce in liaison with associated LOCOG functional areas


In order to achieve the above, we will be looking to the Sport Presentation companies to work alongside LOCOG in undertaking the following:

- Identify and book all specialist Sport Presentation workforce resources required to deliver LOCOG’s programme of Sport Presentation at specified venues and events.
- Generate Games-wide schedules for all individuals between venues and competitions, and across incorporating LOCOG’s Games orienting training and any further job-specific training
- Liaise with LOCOG’s Sport Presentation team for:
o approval on all appointments
o proposed scheduling of workforce across venues/sports
o identification of requirements for travel/accreditation/uniforms /catering, etc
o gamestime operational procedures and templates
- Contract and remunerate all required personnel
- Manage budget including providing accurate cost reporting for all activities

All technical equipment will be provided and supported by LOCOG’s Technology team, in consultation with SPP and the Sport Presentation Production companies, where appropriate.

LOCOG’s Sport Presentation team will maintain control of the following:

- Creative and editorial elements, including the production of all video tape packages and graphics
- Management of clearances for licensed material [archive video footage, music, stills]
- Technical specification of all required equipment, in liaison with LOCOG’s technology team

Independent Production Company Blanket Licence
